JOB DESCRPTION
As an assistant in the Deputy Commissioner’s office, you play a key role in supporting daily operation and helping to ensure the office runs effectively. You will manage tasks in correspondence handling, record-keeping, scheduling coordination, and much more. This position involves a great deal of interaction with the public and other departments, thus requiring very good communication and problem-solving skills. In addition, you will assist in document preparation and report generation to meet information dissemination needs. It is a job for a very detail-oriented and organized person, comfortable with office software, and a role where the direct efforts are worthwhile contributions toward making the office run smoothly.
Responsibility
1-Assist in organizing and managing daily communications including but not limited to emails and letters in keeping the workflow.
2-Office records and files are updated to date and readily available to enable employees easy and quick access to any information.
3-Coordinate meetings, appointments, and events in such a way that schedules are clear and quite structured.
4-Help to get ready reports, presentations and other documents that support projects in the office.
5-Be a helpful contact person to both the public and other departments answering their questions, sharing information, etc.
6-Assist the team in keeping day-to-day tasks on track for efficient office operations.
7-Handle sensitive information with proper care and professionalism at all times.
8-Communicate clearly and effectively within the office and with outside contacts.
9-Attend to general office work, which may include filing, data entry, and copying.
10-Assist with special projects and other tasks assigned by the Deputy Commissioner or other key members of the team.
Qualification
Bachelor Degree (2nd Division)
Preferable Skills
1-Organisational Skills: Handling multiple works and keeping records and schedules as well as documents quite organized.
2-Communicative Skills: Clear as well as formal verbal as well as written communication with public and coordination in the office.
3-Attention to Detail: Accuracy in dealing with documents, data entry work, and preparation of reports
4-Proficiency in Office Software: Knowledge of all the packages such as Microsoft Office (Word, Excel, PowerPoint) and email platforms
5-Time Management: Prioritization of tasks and completion of those tasks either on or before time.
6-Problem-Solving Skills: Resourcefulness and ingenuity with regard to the manner of dealing with questions and minor problems alone.
7-Professionalism and confidentiality: one with the ability to handle confidential documents responsibly
Adaptability:
8-prepared to accept new jobs or change as office needs change.
9-Team Work: willingness to work as a team but to assist colleagues who need help at different times.
10-Customer Service Skills: friendly, supportive, courteous, and patiently helpful while dealing with the public.
